Roles and responsibilities
A. Transportation/ logistics

1 .suggestion booking supervision of transport vehicle as per requirement and preference
2. 24 hour table desk at each when you to attend guest
3. Allocation of vehicles
4. arranging transportation in case of urgency ( when hired vehicle is not available)
5. location of team at airport railway station and bus terminal for assisting arrivals and departures
6. personalized welcome of guest at airport railway station and bus terminal
7. luggage management during pickup and departure tagging and placements
8. coordinating with guest as per event schedule for their smooth transfers to the venues ( arrival list to be given by client)
9. coordinating with host gas’ transport service provider to avoid multiple direction to or from vendor
10. Quality check of vehicle everyday
11. crosscheck on services provided v/s payment claimed
12. Settlement of Bill against service provided (auditing)

B. production

1. Coordinating with decorator to ensure the proper execution of decoration as planned
2. coordinating with vendor for execution of various requirements arising during the event with short notice
3. Priority setting of the production work and continuous check on the progress
4. Bringing ideas to execution with regular performance check and addressing challenges
5 on ground handling
6. Print production (various collateral and utility items)
7. coordinating and managing on the spot requirements of various agencies working together at wedding

C. hospitality

1. 24 hours help desk at to attend the guests
2. Pocket size event ltinerary and utility booklet ( to be provided by client)
3. room listing allotment as per guest arrival and preferences (as per discussions with the client and availability)
4. Check in management
5. Guiding the guests with the service available in the room
6. Addressing all the queries and requirements of guests to the best of our capabilities
7. Informing and coordinating with guest about scheduled events
8. Guest feedback and improvement in service as required
9. Sourcing valley City later items for guest staying at various venues example recharge, envelops, milk ,medicine etc
10. Coordinating and communicating among guest and help them with their works
11. Good night cards at each room with flowers every evening ( if ordered)
12. one point contact for coordination with transportation, catering, production, entertainment ,departure during event
13. First aid and medical kit at each venue
14. basic room kit material available at helpdesk example brush, paste, soap ,shampoo, oil, comb, etc (stock to be provided by client)
15. reminder to the guest of about their departure schedule and arranging the transportation
17. thank you cards to the cake guest at the time of departure ( to be provided by client)
18. maintaining the log register about the guest and regular update to the client

D. Entertainment

1. Suggesting and conceptualizing various entertainment options for the event
2. Booking /co-ordinate booking of the preferred vendor
3. continuous coordination with the various winter for completion of their services
4. On time arrival and quality check of various vendors during the event example band ,ghodi ,doli ,artist etc.
5. planning and executing various guest engagement activities throughout the event example games activities and entertainment during mehndi entertainment during Maayra guest engagement during the time etc.
6. planning and executing various events like Sangeet ,ring ceremony ,groom entry varmala ,sajangot ,fere vidai etc
7..coordinating each and every vendor involved in various function throughout waiting to ensure the delivery meets the plan

E. material management

1 coordinating with pandit and family member to source various materials required at different time
2. Managing the material collected and presenting them at the time of requirement
3. Managing urgent requirement of material during function
4. Keeping a check and auditing the material used and handling over back post event
5. managing the displayed item during tilak ceremony and safeguarding them post event

F. Food and beverages

1. Suggesting the meaning as per functions season and number of guests expected
2. Coordinating with caterer for their requirement ( on behalf of client)
3. Food layout is per decoration in space available
4. Auditing the menu prepared as per the list given
5. Checking on the presentation of the food
6. Checking the quality of waiters and services rendered by caterers
7. Continuous check on number of plates place and consumed and auditing it
8. Continuous check on rollover of food, quantity and TAT of food items
9. Continuous check on the ground cleanliness
